View staff's HR information
As a manager, you can view your assigned staff in People, as long as you are the Reporting Manager or Data Manager for them.
If you are an Admin Manager, you can view all staff in the company even if you are not assigned as their Reporting Manager or Data Manager.
The types of HR information you can view for your staff depends on your access privileges. For more information, refer to Viewing permissions for staff information.
Personal information includes details like name, nationality, address, ID, passport information, and emergency contacts. The staff's personal information is split into four sections:
- Personal Details
- Passport (restricted view)
- Emergency
- Other Details (restricted view)
You can view the staff's personal information in People > Personal.
You can view a list of the staff's bank accounts in People > Bank. Select a bank account to view its details, such as the bank name or the account number.
Work details includes details like reporting manager, job title, work location, job start date, probation end date, and employment contract. The staff's work details is split into several sections:
- Work Info
- Employment Info (restricted view)
- Company Specific Data
You can view the staff's work details in People > Work.
Pay details includes all pay items, such as the basic salary and allowances. Each pay item contains the following details:
You can view the staff's pay details in People > Pay > Pay Details.
Payment records contain the history of the staff's salary payments.
You can view the staff's payment records in People > Pay > Payment History.
Note: In an upcoming release, you will be able to view payslips here.
Insurance records include details like the staff's insurance plans, coverage, and effective duration.
You can view a list of the staff's insurance plans in People > Insurance. Select an insurance record to view its details.
Leave balance includes all leave types that are assigned to the staff, such as annual leave and sick leave. Each leave item contains the following details:
- Effective date
- Remaining leave balance
- Entitlement amount
- Carried-over amount, if any
- Carried expiry date, if any
The remaining leave balance includes any unused days from the entitlement amount and carried-over amount. When the carried-over leave expires, any unused amount will be subtracted from the remaining balance.
You can view the staff's leave balance in People > Time > Leave Balance.
Leave records contain the history of the staff's pending, rejected, and approved leave requests.
You can view the staff's leave records in People > Time > Time-off Records. Select a leave record to view its details.
You can view a list of the staff's public holidays in People > Time > Public Holiday. Each public holiday is linked to a country or region. By default, the staff's public holidays will be assigned based on their designated country. However, managers can customize the staff's public holiday list based on other requirements.
Expense records contain all records submitted by the staff or their managers on their behalf.
Each expense or allowance item contains the following details:
You can view the staff's expense records in People > Expense. Select an expense record to view its details.
Documents refers to work-related documents, such as education certificates, contracts, work permits, resignation letters.
You can view the staff's documents in People > Docs.
Mobility records refers to relocation records for the staff's country changes and Expat movements.
